DriveAgent is operated by ADME ADVERTISING PTY LTD.

For how we handle private dealership information, see Dealer data confidentiality.

1. Information We Collect

We collect information you provide directly when you create an account, request a demo, or contact our team. This includes your name, email address, phone number, dealership name, and role.

We also collect information automatically when you use our platform, including:

  • Device and browser information (type, operating system, IP address)
  • Usage data (pages visited, features used, time spent on platform)
  • Log data (access times, error reports, referring URLs)
  • Dealership operational data processed through the platform (inventory, customer interactions, marketing campaigns)

For the mobile app and connected dealership workflows, this may include account and device identifiers, customer records and messages, selected photos or attachments, financial records such as trade-in valuations and deposit history, search terms, and diagnostic or feature-use records.

When you use enabled voice-copilot features, audio, prompts and relevant dealership context are processed to generate responses. Transcripts and assistant responses may be kept as conversation history. Enabled test-drive or trip-tracking features process journey and location data, including background location while tracking is active. Notifications use device registration identifiers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the DriveAgent platform and its features
  • Process transactions and manage your subscription
  • Send you technical notices, updates, security alerts, and administrative messages
  • Respond to your enquiries and provide customer support
  • Use AI services to provide responses, look up authorised dealership information, and support sales, customer-service and marketing workflows
  • Analyse usage patterns to enhance platform performance and user experience
  • Comply with our legal obligations under Australian law

3. Data Storage and Security

DriveAgent uses cloud infrastructure to operate its services. Website analytics are processed by our analytics provider and its infrastructure providers, which may process data outside Australia. We use encrypted connections to transmit this data.

Access to personal information is restricted to authorised personnel who require it to perform their roles. We maintain comprehensive access logs and conduct regular security reviews in accordance with the Australian Privacy Act 1988.

Dealer data confidentiality

We treat your dealership's non-public business information as confidential. This includes customer and prospect records, enquiries, conversations, internal notes, unpublished pricing, sales activity, marketing audiences and business reports.

Using DriveAgent does not give another dealership access to that information. We do not sell or rent your private dealership data, share it with another dealership for its own use, or use it to generate leads or dealer-specific competitive insights for another dealership.

You control which staff and other users you authorise to access your dealership's information. Access across a dealer group, or by an agency or other representative, must be authorised by your business. Sharing a brand, group relationship or service provider does not by itself authorise access.

We use your information to provide the services you request and to operate, support and protect those services. Access by DriveAgent personnel and service providers is limited to what is needed for those purposes. We may also disclose information where required or authorised by law. These arrangements do not authorise recipients to use your private data for another dealership's benefit.

Information you choose to publish or distribute, such as vehicle listings, advertised prices and campaigns, is shared with the public or the destinations you select. Publishing that information does not authorise access to your private customer records, conversations or internal reports. Connected integrations process the information needed for the functions you enable, subject to the disclosures elsewhere in this policy.

4. Third-Party Services

We may share information with trusted third-party service providers who assist us in operating the platform, including payment processors, cloud infrastructure providers, and analytics services. These providers are contractually bound to protect your data and may only use it for the purposes we specify.

We will not sell, rent, or trade your personal information to any third party for marketing purposes. We may disclose information if required by law, regulation, or legal process.

Where enabled by the dealership's configuration, recorded outcomes such as completed test drives and vehicle sales may be sent with associated customer identifiers to connected advertising platforms, including Meta and Google, for conversion measurement. Customer identities linked to DriveAgent app use are excluded from connected advertising conversion and customer-audience matching, including later website and dealership outcomes for those identities. Limited hashed identifiers may be retained to maintain this exclusion after CRM records change or are deleted.

5. Cookies and Tracking

We use cookies and similar tracking technologies to maintain session state, remember your preferences, and understand how you interact with our platform. These include:

  • Essential cookies: Required for platform functionality and cannot be disabled
  • Analytics cookies: Help us understand usage patterns and improve the platform
  • Preference cookies: Remember your settings and customisation choices

For visitors identified as being in Australia, first-party website analytics is enabled by default. You can turn it off at any time using Analytics preferences. For other visitors, or where the location is unknown, analytics starts only after you allow it. Our website analytics records public pages visited, reading engagement, outbound-link destinations and successful enquiry events. Names, email addresses, phone numbers and enquiry messages are not included in those analytics events. Declining or withdrawing permission stops this optional tracking and removes its browser identifiers. Infrastructure security and existing service diagnostics operate separately.

Google Analytics 4 is a separate optional service for driveagent.io and driveagent.news. It starts only after you choose Allow analytics (or Allow optional analytics on the news site) in the updated preferences control. Previous first-party analytics choices and the Australian default do not enable Google Analytics. Google receives public page paths, page titles, reading activity, outbound website origins, limited campaign labels, and browser and device information. Its requests expose your network address to Google. We exclude form contents, private pages, arbitrary URL queries and fragments, and disable Google advertising features. Google may process information outside Australia; see how Google uses information from partner sites.

The two sites use separate Google Analytics properties and host-only cookies with the da_ga4_ prefix, lasting up to 90 days. The da_ga4_optin choice lasts up to 180 days. Global Privacy Control and Do Not Track disable Google Analytics. Turning analytics off stops further collection and removes these cookies; it does not erase events already received. Browser blocking and declined choices mean analytics reports may not include every visit.

Facebook and Instagram measurement

When configured on driveagent.news, Meta Pixel is a separate optional service. It starts only after you select Allow Meta measurement in Privacy preferences. Analytics choices and newsletter subscriptions do not enable it. Meta receives public page visits, referring addresses, browser and device information, and your network address; it may use these for advertising measurement and personalisation across its services. Meta may set _fbp and _fbc cookies. When you also allow optional analytics, our analytics service can receive these cookie identifiers with public page events and your marketing permission. We do not send newsletter details, names, email addresses, form contents or inferred conversion events through this integration. Meta may process information outside Australia; see Meta's privacy policy.

The separate da_news_meta_optin choice lasts up to 180 days. Private account and subscription pages, recall notices, and pages containing URL queries or fragments are excluded. Global Privacy Control and Do Not Track keep Meta measurement off. Select Turn Meta off to stop further measurement and remove Meta cookies on this site; this does not erase information already received by Meta. Analytics and Meta permissions can be changed independently.

DriveAgent News reader polls

When you vote, we set a functional browser cookie for up to 180 days so you can see or change your response while the poll is open. We store a protected identifier specific to each poll, rather than the cookie value. Response identifiers are deleted within the scheduled cleanup following 30 days after the poll closes; aggregate results and editorial records remain. Temporary hashed network identifiers help limit automated requests; this feature does not store your raw IP address. Polls do not require your name or email and do not subscribe you to marketing. Browser controls cannot guarantee one response per person across devices or cleared cookies, and results represent participating readers rather than all owners or buyers.

DriveAgent News advertising

Directly booked advertisements on DriveAgent News are served and measured by us. Advertiser-supplied tracking tags and pixels are not accepted in these bookings. When a placement loads, we record a random selection reference, the publication address and page path, the placement, whether a desktop or mobile layout was used (worked out from your screen width or browser type, which we do not keep), the page type, category and article, and when the advertisement was selected, displayed, at least half visible for one second, and clicked. We do not store your IP address, browser details or a cookie with these records. Individual records are deleted after 30 days. Daily totals, broken down by campaign, artwork, placement, publication address, layout and page type, are kept for 13 months for advertiser reporting.

Some campaigns limit how often the same advertisement is shown to you each day (days run on Melbourne time). For those campaigns, your browser keeps a count on your device of how many times it has shown each one that day. Once a campaign reaches its limit, a small first-party cookie lists that campaign so we stop selecting it for you. The cookie contains only campaign references, never the count or an identifier for you, and it expires at the end of the day. You can remove both at any time by clearing site data for driveagent.news and driveagent.io in your browser.

Clicking a directly booked display banner sends you through a DriveAgent News address to the advertiser's page without passing on the page you came from. The advertiser's own privacy policy applies from then on. A sponsored comparison suggestion instead adds an offer to your comparison on our site. We record that addition as a click for the sponsored placement; it does not open the advertiser's website. If you send an advertising enquiry, the details you provide are emailed to our advertising team and posted to its internal team chat so we can reply, and we email you an acknowledgement. We also keep an operational receipt with an opaque reference, the requested package, timestamps and the email service outcome. Staff may explicitly associate that reference with an existing advertising order, with an audit record of the change. These receipt records do not copy your name, email address, phone number, business name or message. A provider acceptance is not proof of inbox delivery, and an order association is not proof of payment or a confirmed booking. Your details are not added to marketing lists.

When enabled, eligible unsold placements on driveagent.news may use Google AdSense or Google Ad Manager. Google advertising requires your separate opt-in; analytics consent does not enable it. After that opt-in, an eligible AdSense placement may load Google's script with advertising requests paused to start its privacy message. That script may read existing Google-domain cookies, but Google states it does not set new cookies or use that cookie data for ad serving or measurement while requests are paused. In the EEA, UK, Switzerland, or when your location is unknown, an additional compatible consent signal is required before an ad request. Without it, ad requests remain off. Google may receive your IP address, browser and device information and use cookies or similar technologies to personalise and measure advertising. See how Google uses information from partner sites. Google ads and their destination links are handled by Google and the advertiser.

Use the advertising controls beside a Google placement to turn it off. When Google's European privacy message applies, Google privacy settings lets you revisit those choices; this also turns off our separate advertising choice until you opt in again. Your separate advertising choice is stored for up to 180 days in the da_news_advertising cookie. Turning it off stops further requests by that placement and removes the displayed ad; it does not erase information already received by Google. Our separate Google delivery diagnostics use an opaque request reference that expires after 30 minutes, plus provider, placement, device layout and Melbourne date. They contain no reader identity or page URL. Daily aggregate counts are retained for 400 days and are not Google-certified impressions or earnings.

6. Your Rights

Under the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs), you have the right to:

  • Access the personal information we hold about you (APP 12)
  • Request correction of inaccurate or incomplete information (APP 13)
  • Request deletion of your personal information, subject to legal retention obligations
  • Opt out of direct marketing communications at any time
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the APPs

To exercise any of these rights, contact us at [email protected]. We will respond to your request within 30 days.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. If you close your account, we will delete or anonymise your personal information within 90 days, unless we are required to retain it for legal, regulatory, or legitimate business purposes.

Aggregated, anonymised data that cannot identify you may be retained indefinitely for analytics and platform improvement purposes.

DriveAgent News weekly digest

If you subscribe to the free weekly DriveAgent News email, we collect your email address, the news categories you choose, the wording and time of the consent you gave, and a record of each digest sent to you. If you opt into manufacturer offers, we also store your chosen vehicle types, powertrains, manufacturers, maximum budget, state or territory and optional postcode to select relevant offers. You can change these choices or switch offers off using Manage preferences in any digest. We use this only to send the digest you asked for. It is never shared with advertisers, dealers or other third parties for their own marketing, and it is kept separate from any other DriveAgent account.

Your subscription starts only after you confirm it from the email we send; unconfirmed requests are deleted after 7 days. Every digest has an unsubscribe link, and mail apps can unsubscribe you in one click. When you unsubscribe, or if messages to your address bounce or are reported as spam, your address and preferences are deleted after 30 days. We then keep only a one-way scrambled (hashed) form of your address so we never email it again unless you subscribe afresh, and a record of your original consent, without your address, for 2 years.

Digests are delivered through an email delivery provider that processes your address on our behalf solely to send the email and report bounces and spam complaints to us.

DriveAgent News readership measurement

On DriveAgent News we count page visits anonymously to understand which stories people read and to report readership to advertisers in aggregate. This measurement uses no cookies and does not collect names, email addresses or other details that identify you. It records the page visited, the referring site, your approximate country and your device type, and reports only totals.

Each article also shows how many times it has been viewed. To avoid counting a quick repeat visit twice, your IP address and browser type are combined with a random value that changes every day and turned into a one-way code. That code is kept for 30 minutes and then deleted; your IP address itself is never stored, and codes from different days cannot be linked. Only daily totals per article are kept. Visits by search engines, automated tools and our own staff are not counted.

You can turn anonymous readership counting off at any time with Analytics preferences on DriveAgent News; that choice is remembered in a preference cookie. We also respect Global Privacy Control and Do Not Track signals from your browser.

If you select Allow optional analytics, our analytics service also measures public page visits, reading engagement and outbound website destinations using random anonymous identifiers. Its first-party visitor cookie lasts up to 90 days and its session cookie up to 30 minutes; events are retained for 90 days. This optional measurement excludes names, email addresses, form contents and pages with URL queries or fragments. Your separate opt-in is remembered for up to 180 days. Turning analytics off clears its browser identifiers and stops further events. Previous choices about basic readership counting do not enable this optional measurement.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify you of material changes by posting the updated policy on our website and, where appropriate, by email. Your continued use of the platform after changes are posted constitutes acceptance of the revised policy.
